We collect phone numbers and names provided by users to facilitate estimates, agreements, and invoices for our business subscribers. In addition, depending on how you use the Service, we may collect:
- Account information: name, email address, business name, role, and password.
- Customer records: names, phone numbers, email addresses, service addresses, and job details that business subscribers enter into the Service to create estimates, contracts, and invoices.
- Billing information: payment card details and billing address, handled by our PCI-DSS compliant payment processor. We do not store full card numbers on our servers.
- Usage data: log files, device and browser information, IP address, pages visited, actions taken, and approximate location, collected through cookies and similar technologies.
- Communications: messages, attachments, and support requests you send to us.

- Provide, operate, maintain, and improve the Service.
- Generate, send, and track estimates, agreements, invoices, and SMS notifications on behalf of business subscribers.
- Authenticate users, prevent fraud, and secure accounts.

3. SMS Privacy Policy
Personal information will not be shared with third parties for marketing or promotional purposes. This includes text messaging originator data and consent information; this information will not be shared with any third parties. Phone numbers collected through SMS opt-in (including opt-in form submissions, keywords, and double-opt-in confirmations) are used solely to deliver the messages requested by the business subscriber and are not sold, rented, or released to unaffiliated parties for their own marketing.
4. How We Share Information
We only share personal information in limited circumstances:
- Service providers: trusted vendors that host infrastructure, process payments, deliver SMS and email, and provide analytics, bound by contractual confidentiality and data-protection obligations.
- Business subscribers: if you are an end customer of one of our business subscribers, your information is shared with that business so they can service your account.
- Legal compliance: when required by law, subpoena, court order, or to protect the rights, property, or safety of Estimanos, our users, or the public.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
We do not sell personal information, and we do not share SMS opt-in or consent data with third parties.
5. Data Security
We use industry-standard encryption (TLS in transit and AES at rest) to protect your data, along with access controls, audit logging, and regular security reviews. No method of transmission or storage is 100% secure, but we work continuously to protect your information and will notify affected users of a confirmed data breach in accordance with applicable law.

We retain personal information for as long as your account is active, as needed to provide the Service, and as required to comply with our legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account at any time (see “Your Rights” below).

The Service is not directed to children under 13 (or the equivalent minimum age in the relevant jurisdiction), and we do not knowingly collect personal information from them. If we learn that we have collected such information, we will delete it.
10. International Users
Estimanos is operated from Benton County, Washington, United States. If you access the Service from outside the United States, you consent to the transfer of your information to the United States, which may have different data protection rules than your country.

The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing any personal information.

13. AI & Automated Processing
The Service includes artificial-intelligence (“AI”) features — such as AI estimate generation and the AI contract terms wizard — that use automated systems, including third-party AI models, to generate draft content from the information you provide. In line with U.S. Federal Trade Commission (FTC) guidance on the transparent use of AI, we want you to understand how these features handle your data:
- What is processed: the prompts, job descriptions, services, line items, pricing, and similar inputs you submit to an AI feature are processed to generate the requested draft output.
- Third-party AI providers: we use reputable third-party AI providers to power these features. Your inputs are shared with them solely to generate output for you, under contractual terms that restrict their use of that data.
- No training without authorization: we do not authorize our AI providers to use your or your customers’ personal information to train their general-purpose models, and we do not sell this data.
- AI output is a draft: AI-generated content is produced automatically, may be inaccurate, and is not a substitute for professional (including legal) advice. You are responsible for reviewing and approving it before use. See our Terms and Conditions for more.
- No solely automated decisions: we do not use these AI features to make decisions that produce legal or similarly significant effects about you without human involvement.
